Event and Communication Project Specialist
The International Programs office is seeking a full-time Event and Communication Project Specialist.
What You'll Do:
- This position resides within the Communications and Constituent Relations unit of International Programs.
- This position will provide support for planning, logistics, coordination, and execution of events, including technology assistance for virtual, in-person, and hybrid programming.
- This role will also include communications-related tasks such as writing and editing, and media support across multiple platforms.
- This position requires excellent problem-solving skills, organization, self-motivation, creativity, effective communication skills, a high level of accuracy, and collaboration as well as the ability to thrive under time pressure and in quickly changing circumstances.
Key areas of responsibility include:
- Coordinate visits from international/national delegations including airfare, transfers, hotel accommodations, room reservations, and meeting itinerary logistics with UI faculty & staff. Also coordinate travel arrangements for IP-funded program directors and other IP faculty/staff.
- Coordinate multiple events on behalf of International Programs (e.g., WorldCanvass, Provost’s Global Forum, Major Projects, international alumni events, and ad-hoc events), including: venue selection, food/supply ordering, participant invites, set-up/clean-up arrangements, hotel/travel reservations, attendee tracking, AV equipment order/support, and meeting material distribution. Serve in a hands-on role during events to ensure a successful outcome. May require availability during evening and weekend hours.
- Work as a member of the international alumni relations team within International Programs and in coordination with the International Advancement Committee and University of Iowa Center for Advancement liaisons.
- As directed, create and edit written content, including writing original pieces for the news blog, International Accents.
- May assist in the production of media across multiple platforms, including photography and/or video.
Education, Experience, and Competencies Required:
- Bachelor’s degree or an equivalent combination of education and relevant experience.
- At least one year of experience in a project management/event coordination, and/or communications role.
- Excellent time management techniques, customer service experience, strong organizational skills, attention to detail, and ability to multi-task.
- Excellent written and verbal communication skills, with proven ability to write effectively under deadline for a variety of purposes, goals, audiences, and media.
- Proficient skills in computer software applications, including the Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom, and other software applications. Willingness to adapt to and become proficient in changing technologies.
- Must be a team player, comfortable working in a fast-paced environment with diverse groups.
- Commitment to and ability to foster diversity, equity and inclusion in the work or academic environment is required.
Desirable Qualifications:
- Experience planning and/or organizing meetings and group events and serving as a liaison.
- Demonstrated ability to work independently.
- Experience with tracking expenses and budget oversight.
- Knowledge of University procurement and travel policies.
- Familiarity with Zoom webinars, web content management platforms such as Drupal, social media platforms, and video-editing software.
- Experience supporting international efforts in a higher education setting.
